Transparent policies for cancellations, refunds, and modifications

This Refund & Cancellation Policy is a part of the Terms & Conditions of Danma Retreat Pvt. Ltd. and is governed by the Consumer Protection Act, 2019, the Indian Contract Act, 1872, and applicable RBI guidelines for refund processing. All amounts mentioned are in Indian Rupees (₹/INR). This policy applies to all bookings made through our website, phone, email, or walk-in.

Cancellation by Guest
1.1 Cancellation requests must be submitted in writing via email to info@danmaretreat.com or through the Customer Portal. Phone cancellations are not accepted as valid cancellation requests.
1.2 The cancellation date shall be deemed as the date on which the written request is received by the Company, not the date on which the guest decides to cancel.
1.3 Refund calculation shall be based on the total booking amount (inclusive of taxes and charges), as per the cancellation schedule outlined in the Quick Reference table above.
1.4 Peak Season / Festival Bookings: During peak season (October–January, weekends, and national holidays), a stricter cancellation policy may apply. Cancellations made less than 15 days before check-in during peak season are non-refundable. This will be communicated at the time of booking.
1.5 Group Bookings (5+ rooms): Group cancellations are subject to separate terms. Cancellation of any room in a group booking after confirmation may attract a flat 30% cancellation charge, regardless of the cancellation window.
1.6 Partial cancellations (reducing the number of nights or rooms) are treated as modifications (see Section 3).
Cancellation by Danma Retreat
2.1 In the unlikely event that the Company needs to cancel a confirmed booking due to operational reasons (e.g., maintenance, overbooking, unforeseen circumstances), the guest shall be entitled to:
Option A
Full refund (100%) of the amount paid, processed within 5–7 business days
Option B
Rescheduling to alternative dates (subject to availability) with a 10% discount on the rebooked stay
2.2 If the Company cancels due to force majeure events (see Section 7), the guest shall receive a full refund but shall not be entitled to any additional compensation.
2.3 The Company reserves the right to cancel a booking and issue a full refund if it reasonably suspects fraudulent activity, misrepresentation, or violation of the Terms & Conditions.
Booking Modification
3.1 Modification requests (date change, room upgrade/downgrade, change in number of guests) must be made at least 7 days prior to the original check-in date.
3.2 Each booking is eligible for a maximum of two free modifications. Third and subsequent modifications may attract a processing fee of ₹500 per modification.
3.3 Modifications are subject to availability. If the modified booking results in a higher tariff, the guest must pay the fare difference. If the tariff is lower, the difference shall be refunded or adjusted against future bookings.
3.4 Date changes to peak-season dates may be subject to fare adjustment at the prevalent season rate.
3.5 Name changes on bookings are not permitted after confirmation. The guest name on the booking must match the ID presented at check-in.
No-Show Policy
4.1 A "no-show" occurs when the guest fails to check in on the designated check-in date without prior intimation.
4.2 In case of a no-show, the entire booking amount shall be forfeited and no refund shall be provided.
4.3 If the guest does not check in within 24 hours of the scheduled check-in time and has not communicated a late arrival, the booking shall be automatically treated as a no-show, and the room will be released for other guests.
4.4 If you anticipate a delayed arrival, please inform us at least 4 hours before the scheduled check-in time by calling +91 99104 90877 or emailing info@danmaretreat.com. We will hold the room for up to 24 hours upon receiving such intimation.
Activity & Add-On Cancellations
5.1 Cancellation by Guest: If a guest cancels a booked adventure activity (rock climbing, zip-lining, river rafting, trekking, etc.) within 24 hours of the scheduled activity time, no refund shall be provided. Cancellations made more than 24 hours in advance shall receive a full refund of the activity fee.
5.2 Cancellation by Company: If the Company cancels an activity due to unsafe weather conditions, safety concerns, equipment failure, or insufficient participation, the guest shall receive:
- A full refund of the activity charge, OR
- A rescheduled slot for the same activity during the stay (subject to availability), OR
- Credit towards an alternative activity of equal or lesser value
5.3 Restaurant charges are non-refundable once the order has been prepared and served. Refunds for restaurant orders may be considered only in cases of documented food quality issues, in compliance with the Food Safety and Standards Act, 2006.
Refund Processing
6.1 Approved refunds shall be processed to the original payment method used at the time of booking:

6.2 Refund timelines are indicative and may vary depending on the bank or payment gateway. The Company shall not be responsible for delays at the bank/gateway level.
6.3 A Refund Confirmation Email with the refund reference number shall be sent to the registered email address upon initiation of the refund.
6.4 GST on Refunds: GST already charged on the cancelled booking shall be adjusted or refunded as per the provisions of the CGST Act, 2017. Credit notes shall be issued for refunds involving GST invoices.
6.5 If the refund has not been credited within the stipulated timeline, please check with your bank first, then contact us at info@danmaretreat.com with the booking reference number and refund reference number.
Force Majeure
7.1 Neither party shall be liable for any failure or delay in the performance of obligations under these terms due to events beyond reasonable control, including but not limited to:
7.2 In case of force majeure, the Company shall offer a full refund or the option to reschedule to a future date within 12 months.
7.3 The guest shall not be entitled to any compensation beyond the refund of the amount paid, as per Section 56 of the Indian Contract Act, 1872 (Doctrine of Frustration).
Consumer Rights & Dispute Resolution
8.1 This policy is drafted in compliance with the Consumer Protection Act, 2019. Nothing in this policy shall be construed to limit or restrict any rights available to consumers under Indian law.
